Overview

Coalition Technologies is seeking a detail-oriented Bookkeeper / Administrative Assistant to join our remote team. This role involves managing communications, performing bookkeeping duties, and coordinating various administrative tasks. The position offers a competitive hourly rate of $15 to $25 per hour and requires the ability to work 40 hours weekly from 9:00 AM to 6:00 PM Pacific Standard Time.

Preferred Qualifications:

  • Intermediate proficiency with spreadsheet software.
  • Experience in bookkeeping or financial record maintenance.
  • Experience with Google Sheets, Excel, QuickBooks Online, and G-Suite.

Your Duties and Tasks

  • Manage phone calls and email correspondence.
  • Perform fundamental bookkeeping duties (recording expenditures, organizing receipts, maintaining transaction logs).
  • Address billing discrepancies with clients and internal colleagues.
  • Supply account access, usage reports, data analysis, and fulfill other ad hoc requests.
  • Assist in quality assurance reviews for reports.
  • Coordinate new client contracts, generate invoices, and handle client payments.
  • Participate in maintaining, updating, and data entry for internal databases.
  • Research, order, and distribute company-wide gifts (2-3 times annually).
  • Coordinate company events, contests, and special projects.
  • Manage company holiday schedules, time-off requests, and calendar variations.

Additional Duties if Based in Los Angeles:

  • Collect mail from the Downtown Los Angeles office twice per week.
  • Scan and digitally organize mail.
  • Record and deposit client payments.
  • Gather and redistribute company office equipment from regional staff (requires a valid driver's license and reliable transportation within Los Angeles).
